1. Through forms
Through the various forms on the Site, the following Personal Data may be collected and processed by HKI.Paris:
Identification data: name, surname, date of birth, postal address, telephone number, email address, country/city of residence;
Browsing data: IP address, internet service provider, type of browser used, operating system, pages of the site visited, date and time of access, or behavioural data relating to the behavioural analysis of actions and choices made;
Information relating to working life: information on university course or the following course, professional experience, employer(s), field of competence and CV.
Each User undertakes to provide only accurate, complete and regularly updated data on his identity, content and information in general. HKI.Paris shall not be held liable in any case for the communication of data that is unlawful or contrary to public policy.
Certain Personal Data must be provided in order to benefit from certain features of the Site (for example, to send you its newsletter, HKI.Paris absolutely needs your email address). In these cases, the refusal to provide such information could result in limiting the User’s access to certain services or features offered by the Site.
Except in these cases, the User is free to provide all or part of his Personal Data.

The information you provide us by using the Site allows us to manage your access and use of the Site.
In particular, the Personal Data collected during navigation, access and use of the Site are processed to meet the following purposes:
Recruitment management: HKI.Paris processes the Personal Data of candidates who submit their application through the forms available in the «Recruitment» section accessible from the «Contact» section of the Site to process their application.
Management of prospects and customers: HKI.Paris processes the Personal Data of Users who contact it via the forms «New projects», «Other» and «Press requests» available in the «Contact» section to process their request.
Marketing: HKI.Paris processes the Personal Data in order to manage the User’s subscription to the newsletter.
Processing for marketing purposes requires the consent of the User. The latter may at any time unsubscribe from these communications.
The legal bases for processing carried out by HKI.Paris from the Site can only be the following:
the legitimate interests of HKI.Paris do not override the own interests of the Users;
the performance of a contract or pre-contractual measures; or the consent of the User.
When, in application of the Regulations, a processing of Personal Data requires your consent, HKI.Paris ensures that it first obtains said consent.
HKI.Paris is prohibited from processing the Users' Personal Data for purposes other than those initially agreed without first informing them and re-obtaining their consent for the new processing, unless the processing is required or permitted by law, or is in your vital interest.

HKI.Paris informs the User that Personal Data is kept only for the time strictly necessary for the purposes pursued as set out above and in accordance with the Regulations. The retention period of your Personal Data varies depending on the type of Personal Data and the purposes of processing.
Your Personal Data is kept for the duration of our contractual and/or pre-contractual relationship. Your data will be archived for the applicable limitation period in France, that is to say for 5 years after the end of our relationship and/or our last contact with you when you are a prospect or a customer.
In the context of recruitment, your Personal Data will be retained 2 (two) years after our last contact if your application was not selected, you can however indicate to us that you do not want us to keep your Personal Data at the end of the recruitment process, in which case your Personal Data will be deleted immediately. Your Personal Data will be kept for the duration of your employment contract if your application is accepted.
Certain Personal Data may be retained (invoices, quotes, assets) for a commercially reasonable period of time for backup, archiving or auditing purposes. The mandatory retention period is ten (10) years for invoices.
Personal data from cookies and tracers will be kept for a period of thirteen (13) months from the date they were collected.
Finally, the Personal Data collected for marketing purposes (newsletter) will be kept - unless you unsubscribe - for a period of three (3) years from the collection or last contact from the User.
In its capacity as data controller, and in accordance with the Regulations, HKI.Paris undertakes to:
Collect the Personal Data only for the strict purposes described above;
Implement all technical and organizational measures to ensure the continued security, confidentiality, integrity, availability and resilience of processing systems and services;
Restrict access to the Users' Personal Data to those duly authorised for this purpose;
Raising awareness and training of its staff in the processing of Personal Data;
Guarantee users all their rights of access, portability, erasure, rectification and opposition for the collection and processing of their data;
Notify the competent supervisory authority of any security breach that poses a high risk to the rights and freedoms of Users within seventy-two (72) hours following the discovery of the breach;
The User is duly informed that he has at any time, in advance, during or following processing, a right of access, copy, rectification, opposition, portability, limitation and deletion of the Personal Data concerning him.
Insofar as the processing of his Personal Data is based on his consent, the User has the right to withdraw this consent at any time.

In the event of fraudulent intrusion into its systems, theft, destruction, loss, alteration, disclosure, unauthorised access or any other malicious act, HKI.Paris undertakes to, if such intrusion creates a high risk for the rights and freedoms of Users, to notify the Parties of (i) the nature of the intrusion, (ii) the likely consequences of the malicious act, (iii) the proposed measures to remedy the malicious act, within seventy-two (72) hours from the knowledge of the intrusion.
The malicious act presenting a significant risk to the rights and freedoms of the Users will be communicated to the competent supervisory authority.
The User’s data is accessible only to persons duly authorised by HKI.Paris for the purposes of management, administration or maintenance of the Site, excluding any commercial use, and, where appropriate, for the purposes of implementing the Users' rights to their data (including the right of access, withdrawal, rectification, opposition, portability, forgetting).
In any case, HKI.Paris asks the third party recipients of the User’s Personal Data to commit themselves to comply with the Regulations.
The site does not target minors under 18 years of age as a public service.
However, if information is collected on a minor under 18 years of age from the Site, the minor’s legal representative must give his prior consent and validate the communication of the Personal Data.
HKI.Paris reserves the right to make any changes to this privacy policy, in particular according to the evolution of the legislation and regulations in force, it being specified that it will duly inform the User.
